This Privacy Policy explains how MODERNIZE Tech Insights Co., Ltd. collects, uses, discloses, stores, and protects personal data in connection with the HuRE Admin mobile application and related HuRE Enterprise Digital platform services.

HuRE Admin App is the HR/admin-facing mobile application connected to the HuRE Enterprise Digital HRM platform. It is designed to help authorized HR users, managers, branch administrators, payroll administrators, company administrators, and other approved users monitor attendance, review staff requests, manage approvals, access employee records, support payroll-related workflows, and manage daily HR operations.

1. Scope

This Privacy Policy applies to personal data processed through HuRE Admin App, including information submitted by HR users, managers, administrators, payroll users, branch managers, recruitment users, company administrators, and other authorized users of organizations using HuRE Enterprise Digital.

HuRE Admin App is intended for authorized business and HR users only. The employer or organization using HuRE is generally responsible for determining which users may access employee data and what permissions they receive.

2. Information We Collect

2.1 Information provided by you or your organization

  • Name, phone number, email address, user profile, job title, department, company, branch, role, permission group, and account status.
  • Login credentials, authentication records, role-based access data, and user permission settings.
  • Administrative activity records such as approvals, rejections, comments, request reviews, employee profile updates, attendance corrections, payroll review actions, candidate updates, and report access activity.
  • Employee-related data accessed or managed through the app, including employee profiles, attendance records, leave records, permission records, overtime records, payroll-related records, payslip status, branch records, department records, and HR documents.
  • Recruitment-related data such as candidate profiles, job openings, recruitment stages, interview records, job offers, and candidate status where the Candidate Pool module is enabled.
  • Messages, announcements, reminders, internal notes, attachments, and communication records exchanged through HuRE Admin features.

2.2 Information collected automatically

  • Device type, operating system, app version, device identifiers where applicable, IP address, language settings, log events, crash reports, diagnostic data, and security activity.
  • Notification delivery and interaction events where approval alerts, workforce updates, payroll notices, recruitment updates, announcements, or service messages are enabled.
  • Location-related information only where location-based admin activity, attendance verification, branch visit verification, or field management features are enabled and permitted.
  • Camera or media information when you use features such as QR code scanning, document upload, profile image updates, attendance evidence, or incident documentation where enabled.
  • Audit logs showing administrative activity, access events, permission changes, approval history, payroll review activity, and security-related actions.

3. Device Permissions

Depending on features enabled by your organization, HuRE Admin App may request access to certain device permissions. You can generally manage permissions through your device settings.

  • Camera: Used for scanning QR codes, uploading documents, capturing evidence, updating profile images, or supporting attendance and HR workflow verification.
  • Photo Library / Files: Used for uploading documents, HR attachments, supporting evidence, profile images, or files related to HR operations.
  • Location: Used only when enabled for attendance verification, branch operation verification, field management, or location-based administrative functions.
  • Notifications: Used to send approval requests, attendance alerts, payroll reminders, recruitment updates, announcements, and system notices.

4. How We Use Information

  • To create, maintain, authenticate, and secure HR/admin accounts.
  • To enforce role-based access and permission controls.
  • To allow authorized users to monitor attendance, review late/absent records, approve leave, approve permission requests, approve overtime, and manage HR workflows.
  • To allow authorized users to access and manage employee records, company records, branches, departments, positions, job details, HR documents, and employment records.
  • To support payroll-related workflows including payroll review, payslip generation, benefits, deductions, NSSF-related support, tax-related support, and compliance-related reporting where enabled.
  • To support recruitment workflows such as Candidate Pool management, job opening management, application tracking, interview coordination, job offers, and candidate status updates.
  • To generate reports and analytics for attendance, payroll, recruitment, performance, compliance, company, branch, and workforce management.
  • To send service notifications, approval alerts, announcements, reminders, and system notices.
  • To monitor platform performance, investigate incidents, prevent misuse, detect unauthorized access, maintain auditability, and protect the security of the HuRE platform.
  • To meet contractual, operational, audit, compliance, and legal obligations.

5. Legal / Operational Basis for Processing

We process personal data as necessary to provide HuRE Admin services requested by your employer or organization, operate and secure the platform, support HR administration, manage access controls, maintain audit records, support attendance and payroll operations, manage recruitment workflows, respond to support requests, prevent misuse, and comply with applicable legal, contractual, and operational obligations.

6. How We Share Information

We may share relevant data with authorized users within your organization, including company owners, management users, HR users, payroll users, branch managers, department managers, recruitment users, system administrators, and other users configured by your organization according to their roles and permissions.

We may also share data with trusted service providers that support hosting, cloud infrastructure, database services, authentication, notifications, analytics, crash reporting, security monitoring, backup, maintenance, customer support, payroll-related workflows, and other technical operations. These providers are authorized to process data only as needed to support HuRE services.

We do not sell personal data.

7. Data Retention

We retain admin account records, employee records, attendance records, request records, payroll-related records, recruitment records, reports, communication records, audit logs, diagnostic data, and operational records only for as long as reasonably necessary for service delivery, HR administration, payroll processing, reporting, dispute handling, audit requirements, legal compliance, fraud prevention, security monitoring, and business continuity.

Retention periods may depend on your organization’s policies, legal obligations, payroll requirements, accounting requirements, and system configuration. When information is no longer required, we delete it, de-identify it, or anonymize it according to our internal retention practices and applicable requirements.

8. Your Rights and Choices

Subject to applicable law and your organization’s policies, you may request access to your personal data, request correction of inaccurate information, request deletion of certain data, or object to certain processing activities.

Because HuRE Admin App is usually provided through your employer or organization, some requests may need to be submitted to your organization’s system administrator, HR department, or authorized representative. Some records may need to be retained for employment, payroll, accounting, security, legal, contractual, audit, or compliance reasons.

You may manage app permissions such as camera, location, photo library, files, and notifications through your device settings. Disabling permissions may limit certain app features.

9. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal data against unauthorized access, disclosure, alteration, loss, misuse, or destruction. These measures may include authentication, role-based access control, secure transmission, monitoring, backup procedures, access logging, audit trails, and internal security practices.

Admin users are responsible for protecting their login credentials, using data only for authorized business purposes, and following company policies related to employee privacy and HR data protection.

However, no method of transmission, processing, or storage is completely secure, and we cannot guarantee absolute security.

10. International Processing

Your information may be processed in Cambodia and in other jurisdictions where our infrastructure providers, cloud providers, or authorized service providers operate. Where appropriate, we take reasonable steps to apply suitable safeguards to such processing arrangements.

11. Children

HuRE Admin App is intended for authorized adult business users, HR users, managers, and administrators. It is not directed to children.

12. Third-Party Services

HuRE may use third-party services for hosting, notifications, analytics, crash reporting, authentication, maps/location services, cloud storage, security monitoring, support, or other platform operations. These services may process limited data as necessary to provide their functions.

13. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and may provide additional notice through the app, website, employer communication, or another appropriate service channel.
