This Privacy Policy explains how MODERNIZE Tech Insights Co., Ltd. collects, uses, discloses, stores, and protects personal data in connection with the HuRE mobile application and related HuRE Enterprise Digital platform services.
HuRE App is the staff-facing mobile application connected to the HuRE Enterprise Digital HRM platform. It is designed to help employees and authorized staff users clock in/out, view attendance records, request leave, request late permission, request overtime where enabled, view payslips, receive announcements, update certain profile information, and access employee self-service features provided by their employer.
1. Scope
This Privacy Policy applies to personal data processed through HuRE App, including information submitted by employees, workers, contractors, staff members, and authorized users whose organization uses HuRE Enterprise Digital.
HuRE is generally provided to users through their employer or organization. Your employer or organization may act as the primary controller or owner of employment-related records, while MODERNIZE Tech Insights Co., Ltd. provides the HuRE platform and related technical services.
2. Information We Collect
2.1 Information provided by you or your employer
- Name, employee ID, staff code, phone number, email address, profile photo, department, position, branch, company, supervisor, and employment status.
- Account credentials, login information, authentication records, and role-based access information.
- Employee profile information such as biography, contact details, job details, employment records, contract references, benefit records, and HR-related records where enabled by your employer.
- Attendance records including clock-in/out time, attendance status, late records, absent records, permission records, overtime records, shift-time, public holiday records, and leave records.
- Requests submitted through the app, such as leave requests, late requests, permission requests, overtime requests, resignation requests, or other HR service requests where enabled.
- Payslip and salary-related records made available to employees by their employer through the HuRE platform.
- Messages, announcements, reminders, notifications, comments, attachments, or communication records exchanged through HuRE features.
2.2 Information collected automatically
- Device type, operating system, app version, language settings, IP address, log events, crash reports, diagnostic data, and security-related activity.
- Notification delivery and interaction events where push notifications, reminders, announcements, or service messages are enabled.
- Approximate or precise location information when GPS-based attendance, QR code attendance, branch/location verification, or field attendance features are enabled by your employer and permitted by your device settings.
- Camera or media information when you use features such as QR code scanning, face attendance, profile photo upload, document upload, or photo proof features where enabled.
- Biometric-related attendance references when facial recognition or biometric attendance features are enabled. HuRE may process biometric attendance templates, verification results, or attendance identifiers depending on the configuration used by your employer and attendance device provider.
3. Device Permissions
Depending on features enabled by your employer, HuRE App may request access to certain device permissions. You can generally manage permissions through your device settings.
- Location: Used for GPS clock-in/out, branch attendance verification, QR code attendance with location validation, field staff attendance, and attendance fraud prevention.
- Camera: Used for QR code scanning, profile photo capture, face attendance where enabled, document capture, or photo proof features.
- Photo Library / Files: Used when you upload profile images, attachments, documents, or supporting files for HR requests.
- Notifications: Used to send attendance reminders, request updates, approvals, announcements, payroll notices, and HR service messages.
- Biometric / Face Recognition Features: Where enabled, used only for attendance verification, identity verification, or authorized HR workflow purposes. Device-level biometric authentication may also be used by the operating system to secure app access where supported.
4. How We Use Information
- To create, maintain, authenticate, and secure staff accounts.
- To provide employee self-service features such as profile access, attendance viewing, leave request, late request, permission request, overtime request, and payslip viewing.
- To record, verify, and manage attendance using mobile clock-in/out, GPS, QR code, face recognition, biometric fingerprint, NFC, or other attendance methods enabled by your employer.
- To support HR workflows, approvals, reminders, announcements, and communication between employees, HR users, managers, and administrators.
- To generate attendance, payroll, leave, overtime, performance, and workforce reports for authorized company users.
- To support payroll-related workflows, including attendance-based payroll, payslip generation, benefits, deductions, NSSF-related support, tax-related support, and compliance-related reporting where enabled.
- To monitor system performance, fix errors, investigate incidents, prevent misuse, improve reliability, and protect the security of the HuRE platform.
- To meet contractual, operational, audit, compliance, and legal obligations.
5. Legal / Operational Basis for Processing
We process personal data as necessary to provide HuRE services requested by your employer or organization, operate and secure the platform, support employment and HR administration, maintain records, process attendance and payroll-related workflows, respond to support requests, prevent misuse, and comply with applicable legal, contractual, and operational obligations.
6. How We Share Information
We may share relevant data with your employer, HR department, managers, branch administrators, payroll administrators, authorized company users, or other users configured by your organization according to their roles and permissions.
We may also share data with trusted service providers that support hosting, cloud infrastructure, database services, authentication, notifications, analytics, crash reporting, security monitoring, backup, maintenance, customer support, payment or payroll-related workflows, and other technical operations. These providers are authorized to process data only as needed to support HuRE services.
We do not sell personal data.
7. Data Retention
We retain staff account records, attendance records, HR requests, payroll-related records, communication records, audit logs, diagnostic data, and operational records only for as long as reasonably necessary for service delivery, employment administration, payroll processing, reporting, dispute handling, audit requirements, legal compliance, fraud prevention, security monitoring, and business continuity.
Retention periods may depend on your employer’s policies, legal obligations, payroll requirements, accounting requirements, and system configuration. When information is no longer required, we delete it, de-identify it, or anonymize it in accordance with our internal retention practices and applicable requirements.
8. Your Rights and Choices
Subject to applicable law and your employer’s HR policies, you may request access to your personal data, request correction of inaccurate information, request deletion of certain data, or object to certain processing activities.
Because HuRE is usually provided through your employer, some requests may need to be submitted to your employer’s HR department or system administrator. Some records may need to be retained for employment, payroll, accounting, security, legal, contractual, audit, or compliance reasons.
You may manage app permissions such as location, camera, photos, and notifications through your device settings. Disabling permissions may limit certain app features, such as mobile attendance or QR code scanning.
9. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal data against unauthorized access, disclosure, alteration, loss, misuse, or destruction. These measures may include authentication, role-based access control, secure transmission, monitoring, backup procedures, access logging, and internal security practices.
However, no method of transmission, processing, or storage is completely secure, and we cannot guarantee absolute security.
10. International Processing
Your information may be processed in Cambodia and in other jurisdictions where our infrastructure providers, cloud providers, or authorized service providers operate. Where appropriate, we take reasonable steps to apply suitable safeguards to such processing arrangements.
11. Children
HuRE App is intended for authorized staff users, employees, workers, contractors, and business users. It is not directed to children as a standalone consumer service. We do not knowingly collect personal data directly from children through HuRE App except where employment, internship, trainee, or workforce records are provided by an employer or lawful representative in accordance with applicable law and company policy.
12. Third-Party Services
HuRE may use third-party services for hosting, notifications, analytics, crash reporting, authentication, maps/location services, cloud storage, security monitoring, support, or other platform operations. These services may process limited data as necessary to provide their functions.
13. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and may provide additional notice through the app, website, employer communication, or another appropriate service channel.
